Patient Terms of Use — Hello Healthcare

These Patient Terms of Use (the "Terms") govern your use of Hello Healthcare's patient portal, online booking, and related patient-facing digital services. By booking an appointment, creating a portal login, or using our patient services online, you agree to these Terms.
These Terms are an operational agreement with the clinic. They do not replace informed consent for treatment, which is handled separately in care and intake processes.

1. About our services

Online tools help you book visits, complete forms, message the clinic where enabled, and view information the clinic makes available. They do not provide emergency care.
2. Accurate information
You agree to provide accurate contact, demographic, and health information and to update it when it changes. Inaccurate information can affect scheduling, billing, and clinical safety.
3. Appointments and arrival

- Late arrival may shorten your visit or require rescheduling at the clinician's discretion.
- For telehealth, join from a private space with a stable connection at the scheduled time.
4. Cancellations, rescheduling, and no-shows

5. Fees and payment

6. Telehealth

- telehealth has privacy and technology limitations compared with in-person care;
- it may not be appropriate for all concerns;
- you must be physically located in a jurisdiction where your clinician is authorized to provide services, unless we confirm otherwise;
- in an emergency, call local emergency services rather than using portal messaging.
7. Minors and caregivers
Parents or legal guardians who book or manage care for a minor represent that they have authority to do so. Access to a minor's information follows applicable law and our professional obligations, which may limit disclosure in some circumstances.
8. Communications
You consent to clinic communications about appointments and care coordination by phone, email, SMS, or portal message using the contact details you provide, subject to your stated preferences where we can accommodate them. Do not rely on asynchronous messaging for urgent issues.
9. Acceptable use of portal and booking
You will not misuse our digital services, attempt unauthorized access to records, or harass staff or other patients through clinic channels. We may suspend portal access for misuse while continuing to offer reasonable alternate contact methods for care.
10. Privacy
Our collection and use of personal health information is described in our [Privacy Policy](/legal/privacy). Online booking also uses our Online Booking Terms and Online Booking Consent.
11. Limitation of liability
To the extent permitted by applicable law, Hello Healthcare and its practitioners are not liable for indirect or consequential damages arising from use of the patient portal or online booking tools. Nothing in these Terms limits liability that cannot be limited under Canadian law, including for professional negligence where such limitation is prohibited, or excludes rights you have under consumer protection or health privacy statutes.
12. Changes
We may update these Terms by posting a revised version with a new effective date. Continued use of online booking or the portal after changes constitutes acceptance of the updated Terms, except where a separate acknowledgment is required.
